Bistro Pod Dry Hire
1. Introduction
These Terms & Conditions ("Agreement") govern the hire of the Bistro Pod food truck on a dry hire basis. By booking our services, you agree to comply with these terms.
2. Booking & Payment
2.1 Deposit: A 50% non-refundable deposit is required to secure your booking.
2.2 Final Payment: The remaining balance must be paid in full no later than 7 days before the event date.
2.3 Payment Methods: We accept bank transfer and card payments. Payment details will be provided upon confirmation of your booking.
2.4 Late Payments: Failure to pay the full balance on time may result in cancellation of your booking, with applicable fees as per Section 3.
3. Cancellations & Refunds
3.1 Client Cancellations:
More than 14 days before the event: Loss of deposit only.
Between 14 days and 48 hours before the event: 50% of the total hire fee is payable.
Within 48 hours of the event: No refunds. Full payment required.
3.2 Cancellations by Bistro Pod:
If we are unable to provide the truck due to unforeseen circumstances (e.g., mechanical failure, extreme weather, staff illness), you will receive a full refund or the option to reschedule.
We are not responsible for losses related to your event’s cancellation beyond the refund of our hire fees.
4. Hire Terms & Client Responsibilities
4.1 Branding & Customisation:
We offer branding services including vinyl wraps, signage, and interior branding. Branding materials will be removed after the event unless agreed otherwise.
Clients must supply print-ready artwork by the agreed deadline.
4.2 Use of the Truck:
The truck must only be used for promotional and catering purposes relevant to the event.
No structural modifications are permitted.
No illegal or hazardous activities may take place in or around the truck.
4.3 Event Setup & Requirements:
The truck requires flat, stable ground for setup.
Power Requirements: A 16A Commando plug or standard 13A plug is needed. Clients must confirm power availability in advance.
If power or a suitable site is unavailable, we may be unable to operate, and no refunds will be provided.
5. Delivery & Collection
5.1 Delivery & Setup:
We will deliver and set up the food truck at the agreed location and time.
Clients must ensure adequate space for safe access and parking.
Any event permits or permissions required are the client’s responsibility.
5.2 Collection & Takedown:
After the event, our team will remove branding materials and collect the truck.
The truck must be in reasonable condition (excluding normal event wear and tear).
6. Damage, Liability & Insurance
6.1 Client Responsibility for Damages:
The client is responsible for any damages caused to the truck during the hire period, excluding normal wear and tear.
Any repairs required due to misuse, negligence, or unauthorised modifications will be chargeable.
6.2 Insurance & Liability:
We carry public liability insurance, covering our equipment and staff.
Clients are responsible for any additional insurance needed for their event.
Bistro Pod is not liable for loss of profits, business, or event failure due to circumstances beyond our control.
7. Force Majeure
We are not liable for cancellations or disruptions caused by events beyond our control, including but not limited to severe weather, transport strikes, government restrictions, or natural disasters. In such cases, we will work with you to reschedule where possible.
8. Governing Law & Jurisdiction
These Terms & Conditions are governed by the laws of England and Wales.
